Main Purpose of the Role

A Senior PA to a member of the Truphone Executive team working in a pressurised, very busy environment.  To provide a full administrative and secretarial support service to the Executive and to support other members of the Exec team as required.  A strong emphasis on travel and diary management.  This is a permanent role or could be temp-to-perm.

Key Responsibilities

  • Supporting two or three members of the Truphone Executive team ensuring their time is managed effectively by understanding daily and weekly priorities
  • Management of Outlook diary, updating this information on a continuous basis, Expenses and POs to manage
  • Prepare Executive for board meetings and arranging all travel and accommodation etc for external meetings
  • Scheduling and ongoing management of all meetings and daily schedule including logistics around meeting rooms etc.
  • Manage multiple tasks and to document processes and procedures
  • Responding to emails/phone calls/letters in the Executive’s absence - handling, directing, forwarding or filtering (unsolicited) as appropriate
  • Some management of all approvals - travel, expenses, or any other expenditure approval - ensuring compliance to corporate policy and presenting for sign off
  • Gate keeping and protecting diary - serve as a buffer between the business and the Exec where required
  • Attendance at key meetings as agreed with the Executive and capture of actions
  • Publishing follow up actions from meetings and chasing action owners for updates on these against agreed dates for updates in next meetings
  • Manage the administration budget.

Skills and Experience Required

  • Minimum 5 years’ experience working as a PA at a senior level (Director or ‘C’ level) within a large organisation or in a substantively similar senior administration role
  • Efficient and highly organised; keen attention to detail; pro-active and forward thinking; able to multi-task efficiently
  • Have the gravitas to maintain strong working relationships with the business, including across all Truphone countries, liaising with support staff and senior management teams
  • Able to work to tight deadlines and manage prioritisation in a complex environment
  • Outstanding, professional communication skills both written and oral
  • Maintains confidentiality and discretion at all times
  • Self-starter, not requiring directions on a daily basis in order to prioritise and deliver
  • Good interpersonal skills and ability to manage interaction with senior UK team, other exec team members, and PA peers
  • Organised and methodical with a strong work ethic; at ease in a fast paced start-up environment.
  • Supports the culture and maintains a balanced work perspective.
  • Acts in a mature and considerate manner and demonstrates the highest standards of personal integrity.
  • A good level of education
  • Intermediate-advanced skills in MS Office -creating spreadsheets, documents and presentations etc
  • Preferred but not essential – experience with Salesforce.com CRM system.
